Oversee Audits and Inspections
Audit Categories
There are two distinct varieties of audits that your fleet may undergo:
- In-House audit: This takes place within a fleet's administrative center, simulating a roadside inspection. An inspection official requests reports from the Advaya dashboard for compliance scrutiny. Typically, a Compliance Manager collaborates with an inspection official to conduct this audit.
- Roadside audit: This occurs when an inspector stops a driver on the side of the road. Drivers may undergo this roadside inspection, where they must present their logs. It involves direct interaction between the driver and a law enforcement officer. During a roadside audit, the driver can either email the logs or transmit them wirelessly to the inspection authority.
Transfer Records for an In-House Review
To aid in an internal review of Hours of Service (HOS) compliance according to your relevant regional mandate, you can execute a log transfer for the internal audit.
To initiate log transfer:
- Go to Compliance > Driver HOS.
- Pick the driver for whom you intend to transfer logs.
- Set the date range for the logs using the date selector above the report. Opt for a date range of one month or less. For longer audits, it's advisable to send reports in one-month increments.
- Click on "Transfer Logs"
-
Select the preferred transfer method, which may vary based on your fleet's operational region:
- Email to a custom recipient
- FMCSA Audit Transfer (US)
- Email to FMCSA (US)
- Email to Canadian Government (Canada) - If the inspector provides a specific identifier for the audit, enter it in the Comment field. If you opt for an email-based transfer method, also input the Recipient Email.
- Review the transfer request details, including the date range, and ensure that the requested data aligns with the inspector's requirements.
- Click Send or Submit to transfer the data file. Once submitted, the data file cannot be recalled.
- Repeat this process for each driver requested by the inspector.
- To track the audit transfer status, refer to the Compliance > HOS Audit Transfer report.
